Job Description

SUMMARY

Administrative staff member that supports an executive of the company or a large division.  Work is typically varied and often requires additional training or specialized knowledge.   Work can range from those similar to an Admin Assistant 1 and include other activities such as building presentations, planning events, and other high-level activities.    
 

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Maintains calendars for individuals and/or meeting rooms.  May arrange travel for executives.  May also assist in submitting expense reports for corporate travel.
  • Represents the executive/area by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the executive.
  • Coordinates meetings, dinners, and larger events on behalf of the company.  This activity could include creating agendas and taking notes up to and including securing off-site accommodations for meetings, and planning guest speakers, and other event details. 
  • Collects, assembles, and summarizes information as directed and may create documents from the data such as charts/tables, reports, or basic presentation slides. Composes routine letters and memoranda as directed.
  • Responsible for creating complex PowerPoint presentations, Excel Spreadsheets and Word Documents.
  • Responsible for tracking/settling vender invoicing for multiple projects, communicating with Purchasing, AP & venders to manage cost. 
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • May complete a variety of basic HR and Finance related transactions. This could include data entry and spreadsheet management.   May also be tasked with maintaining files for area.


 

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • High school diploma required.  College degree preferred
  • Five years of related experience
  • Notary license preferred for some assignments
  • Working knowledge of SAP & Microsoft Office programs (Word, Excel, PowerPoint).

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear.  The employee is occasionally required to stoop, kneel, or crouch.  The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 50 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office.  Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc.  May also result in exposure to outside elements and may require usage of stairs and elevators.  Travel including air travel or auto travel may occasionally be required.
