SUMMARY

This role will provide comprehensive administrative support to Westlake’s Executive Vice President, Performance Essential Materials (PEM). This position requires a strong background in executive support, excellent organizational and time management skills, and attention to detail. The individual performing this role must be able to demonstrate integrity, discretion, and a high level of professionalism. The individual should be able to think critically, anticipate needs & maintain confidentiality.
 

DUTIES AND RESPONSIBILITIES

May include, but are not limited to, the following:

  • Manage calendars, including scheduling meetings, appointments, and travel arrangements. Exercise discretion in committing time and evaluating needs.
  • Serve as a gatekeeper, screening and prioritizing incoming communications and requests. Coordinate communication with internal leaders, board members and external stakeholders, as needed, ensuring timely responses and follow-ups.
  • Prepare purchase requisitions, travel arrangements and expense reports; consolidate and prepare information and presentations with great attention to detail.
  • Proficient in preparing and amending PowerPoint presentations and excel reports including board presentations and strategy documents.
  • Coordinate logistics for meetings/events including room set up, meal arrangements, agenda preparation, minute-taking, and follow-up on action items.
  • Maintain professionalism and handle confidential and sensitive information with unwavering discretion.
  • Work collaboratively with other Executive/Administrative Assistants to coordinate calendars with executives and team members from other departments, assist with meeting arrangements and answer inquiries.
  • Ensure excellence in complex meeting/event preparation, including AV setup, room scheduling, and telepresence events.

EDUCATION, EXPERIENCE AND QUALIFICATIONS

  • HS Education required, bachelor’s degree strongly preferred.  
  • Minimum 10 to 12+ years of professional experience supporting senior management in an administrative capacity, ideally in the chemical, manufacturing or related industry. 
  • Self-starter with the ability to anticipate needs, resolve challenges, and think critically in a fast-paced environment.
  • Effective written and oral communication skills with strong attention to detail
  • Exceptional organizational skills with meticulous attention to detail, ability to meet deadlines consistently with minimal errors.   
  • Tech-savvy, including proficiency with a variety of complex office automation tools and software, including proficiency in PowerPoint, Excel, Word, and SharePoint.  Knowledge and familiarity with AI tools such as ChatGPT and Microsoft Copilot.
  • Experience with heavy calendar management and domestic/international travel coordination.
  • Demonstrated ability to interface with technical manufacturing personnel, and high-profile executives, acting as an extension / true representative of the Executive.  Ability to pivot from formal to informal demeanor with ease. 
  • Proven track record of handling sensitive information with complete confidentiality
  • Ability to work independently and exercise sound judgment in ambiguous situations
  • Ability to keep the executive on track/remind him to get to meetings on time

PHYSICAL DEMANDS

While performing the duties of this job, the employee is frequently required to sit; stand; walk; use hands to touch, handle, or feel; reach with hands and arms; and talk or hear.  The employee is occasionally required to stoop, kneel, or crouch.  The employee must regularly lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

WORK ENVIRONMENT

The noise level in the work environment is usually moderate as normally based in an office.  Some of the work may be required in the operating units which can require usage of required PPE including safety glasses, hearing protection, etc.  May also result in exposure to outside elements and may require usage of stairs and elevators.
